Checklist
Please review the Event Checklist located to the left before proceeding to the rest of the site. This checklist is your go-to guide for preparing for the upcoming event. You are fully ready for the event when every item is checked off.
Date and Time
The entire event will take place on November 13th, 2025.
As a speaker, you will have an assigned presentation time slot and virtual lecture hall for your oral talk.
Speaker Presentation Options
Speakers can present via one of the 3 options during their session:
Screen-share their presentation slides from their own computer.
Have an ePosterBoards moderator screen-share their presentation slides.
Pre-record their talk as a video and submit to ePosterBoards to play during their session. Click to View Example
Slide Submission
Speakers will need to submit their slides or pre-recorded video to our site. The submission button is located in Upload section.
Speaker Submissions are due by November 6th, 2025.
Test Sessions
All Speakers are required to attend a test session to familiarize themselves with how the ePoster Session will run. The test session gives you the opportunity to handle any potential technical issues and it’s a dress rehearsal on what to expect during the actual ePoster Session.

Day Of Event Login Instructions
Before logging on, please make sure you are using the recommended operating system and browser versions:

You will login to the virtual Lobby and go to the Speaker Check-In Table to prepare for your module. An ePB moderator will do a final run-through of your presentation in a private lecture hall, collect a back up copy of your slides, and verify that your camera & microphone are still working properly.

To login, you can use the same credentials you created during the test session. If you did not attend a test session, you will have to create an account to login.
Other Items to Note
The virtual platform will be a Virtual 2D Event Map where presenters can double click on a table to move themselves from one table to the next, share their screen with their presentations, and converse with attendees.
Download and read through the 2D Event guidelines, and register for a test session to get prepared for your session.

test sessions
We are hosting CFAR HIV Women speaker test sessions within the virtual event platform. Speakers will preview the virtual event room, test going on stage, slide sharing, and troubleshoot any internet or technical issues before event day. It is required for speakers to attend a test session.
Upcoming Test Sessions

Step 1: Click the button below for your preferred test session
Step 2: Sign up for a 20 minute time slot
Step 3: You will receive an email at least 1 week before the session with the link to create your email username and password
Step 4: Log into the test session during your time slot and have a Powerpoint ready to practice screen sharing

In case of any technical issues, please upload a copy of your slides to us by November 6th, 2025. Include your name in the file name. We will also collect slides during check-in in the private lecture hall.

Day-of Best Practices:
Have presentation ready in Powerpoint. In “Set Up Slide Show” settings, make sure “Browsed by an individual (window)” and “Loop continuously until Esc” are selected.
Use Google Chrome and do systems updates.
Arrive at the Speaker Check-In Table in the Lobby 40 minutes before your module.

logging in to the virtual event
Speakers will log into the Lobby and go to the Speaker Check-In Table. Once you have checked in, you will do a final walkthrough and then go to the lecture hall

Please follow the steps below:
Click “Register”.
You can register and create an account with your email, name, and a password. After you create an account, you can edit your profile to include a picture and a bio to personalize your avatar.
After registering, add the event and your session time to your calendar.
On event day, login via the URL link and click “Join Event”.
Once you login to the speaker check-in room an ePB moderator will do a final run-through of your presentation on the stage and will verify that your camera & microphone are still working properly.
Move to the Lecture Hall.
Once you are in the virtual lecture hall, you can wait at the speaker waiting room table in the back row until it is your turn to present. An ePB moderator will bring you up to the stage 5-10 minutes before your speaker session will begin.
